How to choose a ServiceTitan coach (and when you do not need one)

A ServiceTitan coach helps you get the whole platform working for the business, not just get it set up: the modules and functions you actually need, how the day is dispatched, priced, and costed, and the owner decisions that turn a busy week into a profitable one. The good ones coach how to make money running the shop, not only how to use the app. Choosing one comes down to three things: whether you actually need a coach or just one fix, whether you want an independent operator or a certified partner, and whether they can show you a real gap before you pay. Here is the honest version.

First, do you even need a coach?

You do not need a coach if the platform is set up the way you run, your techs work from it without calling the office, jobs get costed the day they close, and you can pull your close rate and average ticket in under a minute. If that is you, save your money, or get one specific fix and move on.

You probably do need help if ServiceTitan feels like it is doing less than it should and you cannot say exactly where. That is common. Across 15 real ServiceTitan pricebooks we analyzed (39,844 active services), 88.7% of services had no recommendation set, 94.3% had no upgrade set, and 60.6% of jobs had no linked material, so the parts never reached the invoice.   • Setup and modules that fit how you work, not a generic configuration. The features that move margin, turned on and used. The ones that do not, left alone.
  • Dispatch and scheduling that stop leaking jobs and overtime.
  • Pricing and the pricebook your techs present from, so quotes are consistent and options are there to sell.
  • Job costing, so you know what each job actually costs and price from reality instead of hope.
  • The handful of numbers an owner should watch, and how to read them without a finance degree.
  • The owner decisions behind all of it: staffing, roles, where the next dollar of effort goes.

Effective app use is the floor. Making money is the job. A coach who only teaches you the software has done half of it.

The three kinds of help, and how they differ

Independent operator. Someone who ran the trade and now fixes ServiceTitan setups and the business around them for a living. Upside: they have sat in your seat and have no incentive to sell you more software. Downside: fewer of them, and no vendor badge.

Certified partner. A firm ServiceTitan trained and certified. Upside: deep platform knowledge and official status. Downside: certification means their incentive points back at ServiceTitan, so more seats, more Pro, more modules can look like the answer more often than it is.

In-house. Train an admin on ServiceTitan Academy or Success and keep it internal. Upside: cheapest long term, full control. Downside: slow, and your admin learns on your live account while the leaks keep running.

None is wrong. The honest test is incentive and experience: who has actually run a shop, and what are they paid to recommend.

How to choose, in five questions

  1. Can they show you the gap on your own account before you pay? A real diagnostic beats a sales call. If the only next step is “book a call,” you have not seen proof yet.
  2. Do they lead with real numbers or with adjectives? “Streamline and empower” is not a plan. Ask what they found in the last shop they worked with.
  3. What are they paid to recommend? An independent operator and a reseller will point you at different fixes for the same problem.
  4. Do they coach the business, or just the app? The wins that matter are in pricing, dispatch, costing, and the owner decisions behind them. Help that never leaves the software leaves the biggest number on the table.
  5. Will they tell you when you do not need them? The ones who will are the ones worth hiring.

What it should cost

Nobody honest quotes a sticker price sight unseen, because it depends on the shape of your shop and where the gaps are. Be wary of a flat monthly number attached before anyone has looked at how you run.
